Refund Policy

This Refund Policy (“Policy”) governs refund eligibility in relation to services provided by Edumize Services Sdn. Bhd. (“Edumize”).
This Policy forms an integral part of, and must be read together with, Edumize’s Terms of Service, Privacy Policy, and Terms and Conditions, all of which are publicly available on Edumize’s official website.

By engaging Edumize’s services, the Student, Parent, and/or Authorized Person acting on behalf of the Student acknowledge and agree to be bound by this Policy.

1. GENERAL PRINCIPLE

Edumize operates primarily as an education support, coordination, and processing service provider.
Refunds are not automatic and are assessed strictly in accordance with this Policy, the Terms of Service, and applicable third-party policies.

2. FREE CONSULTATION

  • Initial consultation and general guidance provided prior to any application submission are free of charge.
  • As no payment is collected at this stage, no refund applies.

3. SERVICES DEEMED RENDERED (CRITICAL)

For the purposes of this Policy, services shall be deemed rendered and non-refundable once Edumize incurs Exposure, including but not limited to:

  • Submission of an application through an institution’s portal
  • Agent assignment or agent-lock by an institution
  • Issuance of an Offer Letter (OL)
  • Initiation of visa, embassy, NOC, or special requests processing
  • Handling or facilitation of any payment
  • Actions triggering commission eligibility or risk of commission loss

Withdrawal, deferment, or dissatisfaction after Exposure does not entitle the Student or Authorized Person to a refund.

4. NON-REFUNDABLE FEES (STRICT)

The following are strictly non-refundable under all circumstances:

  1. Service fees charged by Edumize
  2. Fallback service fees imposed due to:
    • Student non-cooperation
    • Delays or refusal to proceed
    • Loss of commission eligibility
  3. Fees arising from:
    • Application processing
    • Visa processing
    • Embassy / NOC / special requests processing
  4. Administrative, coordination, or handling fees
  5. Fees affected by:
    • Student withdrawal
    • Deferment
    • Change of decision
    • Agent change requests

5. BUNDLED PAYMENTS

Where payments are collected as bundled amounts (e.g. official fees combined with Edumize service fees):

  • No itemized or proportional refund calculation shall apply
  • Edumize is not obligated to disclose internal fee breakdowns
  • Refund eligibility, if any, shall be assessed as a single bundled transaction

6. THIRD-PARTY PAYMENTS

Payments made to or for the benefit of third parties (including universities, institutions, embassies, or authorities):

  • Are subject solely to the refund policies of those third parties
  • Are outside Edumize’s control once submitted
  • May require deductions for administrative or handling costs

Edumize does not guarantee any third-party refund outcome.

7. PAYMENT COMPLIANCE & REFUND ELIGIBILITY

Failure to comply with Edumize’s written payment instructions, including:

  • Payment timing
  • Payment method
  • Designated recipient

shall automatically void any refund eligibility, regardless of outcome.

8. MISCONDUCT, ABUSE & DEFAMATION

Refund eligibility is immediately forfeited if the Student, Parent, or Authorized Person engages in:

  • Abusive behavior
  • Threats or harassment
  • False, misleading, or defamatory statements
  • Public or private disparagement of Edumize

Such conduct may also result in service termination and legal action.

9. SUB-AGENT / AUTHORIZED PERSON CASES

Where an Authorized Person (including a sub-agent) acts on behalf of the Student:

  • Refund assessments shall be made without regard to the internal arrangements between the Student and the authorized person.
  • Any disputes regarding reimbursement between the Student and Authorized Person are outside Edumize’s responsibility
  • Edumize reserves the right to recover losses or compensation directly from the Authorized Person, as provided in the Terms of Service

10. REFUND REQUEST PROCEDURE (IF APPLICABLE)

Where a refund is exceptionally considered:

  • Requests must be submitted in writing within the timeframe specified by Edumize
  • Supporting documents may be required
  • Approval is at Edumize’s sole discretion

Silence, non-response, or incomplete submissions shall be deemed abandonment of the request.

11. NO WAIVER

Failure by Edumize to enforce any part of this Policy in a particular case shall not constitute a waiver of rights in any other case.

12. PREVAILING INTERPRETATION

In the event of any ambiguity or inconsistency:

  • Edumize’s interpretation of this Policy shall prevail, subject to governing law
  • This Policy shall be interpreted consistently with the Terms of Service

13. GOVERNING LAW

This Refund Policy shall be governed by and construed in accordance with the laws of Malaysia.
